Terms and conditions of enrolment

By completing your online enrolment, you agree to the following terms and conditions.


Enrolment and selection

  • You are encouraged to disclose any medical conditions, disabilities, or learning needs at enrolment so we can provide appropriate support and reasonable adjustments.
  • Course fees are payable in full at the time of enrolment, as set out in your Course Flyer. A non-refundable administration fee applies to all enrolments. Payment plans are available on request, including for financial hardship.
  • It is your responsibility to note the advertised course schedule, including start date and delivery format.
  • If a course is cancelled due to insufficient enrolments, ACI will contact you using the details you provided. You are responsible for keeping your contact information current.
  • Requests to defer, transfer, or credit your enrolment due to personal circumstances will be considered. Where possible, alternative arrangements will be offered.
  • If you withdraw due to personal circumstances, ACI will make every effort to facilitate enrolment in a future equivalent course.
  • Late enrolments may be accepted provided all entry requirements are met. Full course fees still apply.
  • ACI reserves the right to refuse enrolment or withdraw a student from training where required. You will be notified as soon as practicable.

Course fees, payments and refunds

All fees — including tuition, administration fee, and any applicable materials charges — are disclosed in your Course Flyer before enrolment.

Course fees are payable in full at the time of enrolment, unless you have an approved Payment Plan. Where your total fees exceed $1,500, any amount above $1,500 is protected by ACI’s bank guarantee, in accordance with fee protection requirements (see Fee protection below). A Payment Plan is available on request, including where you are experiencing financial hardship — submit a Payment Plan Application Form with supporting financial information.

A non-refundable administration fee (typically $250) is included in the initial payment. If you withdraw before commencement, the administration fee is not refundable. The remaining balance may be refunded in accordance with the Refund Schedule below.

Refunds may also be granted with supporting documentation where you experience serious illness or genuine hardship, or where ACI fails to deliver agreed services. Approved refunds are processed within 10 business days.

Submit refund requests in writing using the Refund Request Form, available in the student portal or from Student Support.


Changes to agreed services

ACI will notify you as soon as practicable of any change to agreed training or assessment services, including:

  • Course rescheduling or cancellation
  • Changes to delivery mode, trainers, or training venues
  • Changes in ownership or RTO registration status
  • Introduction, cessation, or amendment of third-party arrangements

If ACI is unable to continue delivering training, arrangements will be made to transfer you to an equivalent provider, or a refund will be issued in accordance with the Refund Policy.


Fee protection

ACI holds an unconditional bank guarantee from an Australian bank to protect prepaid fees received in excess of $1,500 per student, in accordance with the Compliance Standards for NVR Registered Training Organisations 2025. If ACI is unable to deliver a course, affected students will be placed into an equivalent course at no additional cost, or refunded any prepaid fees for services not yet delivered.


Consumer guarantee

ACI guarantees that all training and assessment services will be delivered:

  • With due care and skill
  • In accordance with the agreed course structure and content
  • In a manner fit for purpose and responsive to your needs
  • Within a reasonable timeframe

These guarantees align with Australian Consumer Law. If you believe these guarantees have not been met, you may be entitled to remedies such as rescheduling, replacement training, or a refund. See our Complaints and Appeals process below.


Complaints and appeals

ACI is committed to handling all complaints and appeals fairly, promptly, and without prejudice. In the first instance, raise any concern with a staff member or the RTO Manager.

Where informal resolution is not possible, submit a formal complaint or appeal using the Complaints and Appeals Form, available in the student portal or from Student Support. All submissions are acknowledged in writing.

You will:

  • Be kept informed throughout the process
  • Have access to independent review if required
  • Not be disadvantaged for raising a complaint or appeal

External escalation options include the National Training Complaints Hotline (13 38 73), ASQA (asqa.gov.au), and your state or territory consumer protection agency.


Credit transfer and RPL

ACI recognises AQF qualifications and Statements of Attainment issued by any other Registered Training Organisation under the principles of National Recognition.

You may apply for Credit Transfer for equivalent units you have previously completed by providing a certified copy of your transcript or AQF certificate.

You may also apply for Recognition of Prior Learning (RPL) based on skills and knowledge gained through work or life experience. RPL applications are accepted at any time, ideally within 2 weeks of enrolment.

Language, literacy, numeracy and digital (LLND) support

ACI is committed to identifying and supporting the LLND needs of all students. Students undertaking Certificate III qualifications or below are required to complete an LLND assessment before training commences.

If support needs are identified, ACI will work with you to agree on appropriate adjustments before training begins. Support may include additional learning assistance, referrals to specialist services, or adjustments to learning and assessment methods.


Support services

ACI provides accessible support services throughout your training, including:

  • Academic and learning support
  • LLND assistance
  • Wellbeing and counselling referrals
  • Study planning and vocational guidance
  • Adjustments for disability, health conditions, or other circumstances

To request support, complete the Support Services Form in the student portal or speak with your Trainer or Student Support Officer. Requests are acknowledged within 2 business days.


Resources you will need

To participate in training and assessment, you will need:

  • A laptop or suitable device for digital learning
  • Reliable internet access
  • Access to any digital apps, software, or platforms specified in your Course Flyer

If you are unable to access required resources, speak with your Trainer or Student Support to explore alternatives.


Privacy and data collection

ACI collects and manages your personal information in accordance with the Privacy Act 1988 (Cth) and the National VET Data Policy. Your information is used only for purposes directly related to your enrolment, training, assessment, and the issuance of nationally recognised credentials.

As a Registered Training Organisation, ACI is required to collect and submit AVETMISS data to the National Centre for Vocational Education Research (NCVER) for the National VET Provider Collection. This data may be used for:

  • Issuing authenticated VET transcripts
  • Administering and regulating the VET system
  • Policy research, planning, and statistical reporting

Your information may be disclosed to the VET regulator (ASQA), relevant government departments, state or territory training authorities, and approved researchers engaged by NCVER. For more information, visit www.ncver.edu.au.

You may request access to your personal information or ask for corrections at any time by contacting Student Support.


Legislative compliance

By enrolling, you acknowledge your responsibility to comply with ACI’s policies and procedures at all times, and to participate in training in a safe, inclusive, and respectful manner. Relevant legislation includes the Work Health and Safety Act 2011, anti-discrimination and equal opportunity laws, the Privacy Act 1988, Australian Consumer Law, and the National Vocational Education and Training Regulator Act 2011.
